FOR PROPERTY DEVELOPERS
Help your property move into its next chapter.
Handover appointments, early defect reports and the first notices to new owners all happen around the same time. Bring the coordination behind that period into one supported workflow.
For handover. For early occupation. For the team coordinating both.
THREE STAGES
From appointment
to early occupation.
Handover doesn't end when the keys are handed over. These are the three stages our team typically discusses with developers.

the beginning.
- 01BEFORE THE VISIT
Prepare for appointments.
Organise the appointment details owners need ahead of a handover visit, so the day itself is easier to run.
- 02ON HANDOVER DAY
Coordinate the handover.
Work through vacant-possession appointments with supported records your team can refer back to.
- 03AS OWNERS SETTLE IN
Follow reported defects.
As owners settle in, reported defects can be logged, assigned and tracked through to an update.
VACANT POSSESSION
Appointments,
with a supported record.
The vacant-possession workflow supports appointment coordination and confirmation records your team can refer back to. It does not confirm legal completion of vacant possession — that remains a matter for your own legal process.
- Appointment details organised ahead of each handover visit.
- Supported confirmation records your team can reference afterwards.
- A shared reference point for the teams involved in handover.

DEFECT REPORTING
As owners settle in,
issues stay followable.
The early occupied period is usually when defect reports are busiest. Give your team a shared, trackable way to handle them.

A clear next step.

- 01
An owner reports an issue.
New owners can log a defect with the details your team needs to act on it.
- 02
It's assigned to a team.
Reports are assigned so ownership of the fix is clear.
- 03
Progress is tracked.
Updates are logged as work moves forward, giving both sides a record.

READY FOR OCCUPIED OPERATIONS
A running start
for everyday operations.
A few things are worth having in place as your property starts its occupied life.
Know who's moving in.
Resident and owner information ready for the early occupied period.
Keep new owners informed.
A way to publish notices to owners as they move in.
Plan for everyday arrival.
Relevant access equipment for entry points, assessed for your site.
BEFORE WE SCOPE YOUR PROJECT
A few details
help us prepare.
Every project is different, so we don't assume figures in advance. Bring what you can of the following to your first conversation.
- 01The current stage of your project.
- 02The number of units due for handover.
- 03The teams responsible for appointments and defect follow-up.
- 04Any access equipment already specified or installed.
- 05Your target milestones for handover and early occupation.
No finished brief needed. Start with what you know.
Does PropKita confirm legal vacant possession?
No. PropKita supports the appointment coordination and record-keeping around a handover. Legal completion of vacant possession remains a matter for your own legal process and documentation.
Does the app automatically transfer to a future JMB or MC?
No automatic transfer is implied. If your property will move to a JMB or MC after handover, that transition — including any account or data handover — is a separate discussion for our team to work through with you.
Who follows up on defects reported during the early occupied period?
That depends on your project's arrangement. PropKita gives your team a shared place to log, assign and track reported defects; who is responsible for acting on them is defined by your own project team.
Can we start with software before our access equipment is installed?
Yes. Software and hardware can be discussed and scoped separately, so a demo isn't dependent on your equipment already being in place.
What information should we bring to a first conversation?
The scoping questions on this page are a useful starting point. Bring whatever you can — our team can help fill in the rest during the discussion.

Software and hardware,
scoped separately.
Book a software demo, or request a quote for handover and guardhouse equipment — whichever fits where your project is today.
